What is a project report?
A project report sets out what you plan to do, what it will cost, how you will fund it and how the business will repay borrowings. Lenders read it to judge whether the project is viable and the loan amount is reasonable.
A typical report includes a business overview, promoter background, project cost (land, building, machinery, working capital), means of finance (own contribution, term loan, subsidy), projected profit and loss and balance sheet for five to seven years, cash flow, debt service coverage ratio (DSCR), break-even analysis and key assumptions.
For working capital limits, banks often ask for CMA (Credit Monitoring Arrangement) data instead, a standard set of financial tables showing past and projected performance and the assessed working capital gap.
A good report is realistic. Projections that do not match your past performance or the industry are quickly questioned by bank credit teams.
Who needs a project report?
You need a project report if you are:
- Applying for a term loan to buy machinery, equipment or premises
- Starting a new manufacturing or service unit
- Applying under government schemes such as PMEGP or other MSME schemes
- Seeking working capital limits that require CMA data
- Presenting a business plan to investors or partners
- Expanding capacity or opening a new branch
