What is accounting and bookkeeping?
Bookkeeping is recording each business transaction: every sale, purchase, expense, receipt and payment. Accounting goes a step further and turns those records into a profit and loss account, a balance sheet and reports that show how the business is doing.
Good books do several jobs at once. They are the base for GST returns and income tax returns. They show lenders that your business is real and profitable. They help you track who owes you money and whom you owe. And when a notice arrives, they are your first line of evidence.
Many small businesses leave accounts until the end of the year. That usually means missing bills, unexplained bank entries and a rushed ITR. Monthly bookkeeping avoids this. The numbers stay current, GST and books agree, and the year-end close takes days instead of weeks.
We work in Tally, Zoho Books or the software you already use, and share access so you can see your own books at any time.
Who needs outsourced bookkeeping?
Outsourced bookkeeping is a good fit if:
- You run a shop, trading business or service firm without a full-time accountant
- Your GST returns are filed but your books are not updated
- You need audited or CA-prepared financial statements for a loan or tender
- You are a startup or LLP that must maintain books under company law
- Your current accountant has left and the books are behind
- You want monthly profit and receivables reports to run the business
How does our bookkeeping process work?
-

Week 1We review your existing books, chart of accounts, software and opening balances, and agree a monthly data date.
-

-
3
Recording and reconciliation
Every monthWe record transactions, reconcile every bank account and match purchase entries with GSTR-2B.
-
4
Review and reports
Every monthOur CA team reviews the books and sends a short report: profit, receivables, payables and anything that needs your attention.
-
5
Closing
Year endWe finalise the books, prepare financial statements and hand over to tax audit, ITR or ROC filing as needed.
What do we need from you each month?
The list is the same each month. We set up a simple folder or WhatsApp routine:
| Item | Trader / shop | Service business / company |
|---|---|---|
| Sales | Sales invoices or billing software export | Invoices raised to clients |
| Purchases | Purchase invoices with supplier GSTIN | Vendor bills and subscriptions |
| Expenses | Rent, electricity, freight, staff and petty cash | Rent, salaries, professional fees, software |
| Bank | Statements for all business accounts | Same, plus payment gateway reports |
| Payroll | Attendance and salary data, if staff are employed | Same, plus reimbursements |
| Loans and assets | EMI schedules and purchase bills for assets | Same |
How long does bookkeeping set-up take?
Set-up usually takes 5–10 working days. After that, books are updated every month. These factors add time:
- Books that are several months or years behind
- Missing bills or bank statements that need to be traced
- Several bank accounts or a high volume of cash transactions
- Moving data from one software to another
From you, we need documents by the agreed date each month and answers to a short list of queries on unclear entries. Book a consultation call to discuss your case.
Why outsource your books to us in Greater Noida?
- Books, GST and ITR in one place. The same team keeps your books and files your GST and income tax returns, so the figures match.
- Local businesses we know. We keep books for shops and service firms in Gaur City, Noida Extension and Sector 4. Drop off papers at our Gaur City Mall office.
- Monthly reports you can read. A one-page summary each month, not just a ledger export.
- Secure handling. Documents are shared over secure channels and used only for your work.
Bookkeeping mistakes that lead to GST and income tax notices
- Mixing personal and business spending. Personal expenses in business books distort profit and raise questions in scrutiny.
- Unrecorded cash sales. Sales missing from books but present in bank deposits can lead to notices.
- ITC claimed without matching. Credit claimed in GST that is not in books or GSTR-2B is a common notice trigger.
- No bank reconciliation. Unmatched entries hide errors and duplicate payments.
- Year-end-only bookkeeping. Rushed books increase errors in the ITR and financial statements.
| Item | Usual rule |
|---|---|
| Books of accounts retention | At least 8 years for companies; varies for others |
| Tax audit limit | Applies above specified turnover limits |
| Financial statements (companies) | Prepared and filed annually after the financial year |
